Collaboration breaks when permissions are an afterthought. Lead with a simple matrix: who can propose changes, who can merge them into customer-visible surfaces, and who can spend budget. Make the default restrictive, then widen deliberately as teams prove their workflows.
Shared context beats shared screens
The best collaborative tools converge on a single narrative: what we are building, why it matters, and what changed since yesterday. Notifications should reinforce that story — not create a parallel inbox your team learns to ignore.
Operational kindness
Small affordances compound: clear ownership on projects, explicit handoffs between roles, and respectful defaults for async review. The UI should make the right thing obvious so teams spend energy on customers, not coordination tax.
